Welcome to Sports Management Applications W.L.L. (“SMA”, “we”, “us” or “our”). These Terms & Conditions govern access to and use of the SMA website, mobile applications, administration portals and related sports-management services.
By accessing or using the services, creating an account, or using the services on behalf of a sports organization, academy, club or branch, you agree to these Terms & Conditions. Where a separate written agreement exists between SMA and an organization, that agreement will apply in addition to these terms and will prevail to the extent of any conflict.
1. Introduction and Scope
SMA provides digital tools designed to support sports organizations, academies, clubs and branches with activities such as registration, membership administration, programs, attendance, payments, communications, reporting and related operational workflows.
The availability of specific functions may depend on the organization, branch, subscription, configuration, country, user role or implementation phase.
2. Eligibility and Lawful Use
You may use the services only for lawful purposes and in accordance with these terms. You must not use the services in a way that violates applicable law, infringes the rights of others, interferes with platform security or availability, or attempts to gain unauthorized access to data, accounts, systems or services.
Organizations are responsible for ensuring that their administrators, staff, coaches and other authorized users use the platform only within the permissions and purposes assigned to them.
3. Accounts and Registration
Certain services require an account. Users must provide accurate and current information and keep account credentials secure. You are responsible for activity carried out through your account unless you have promptly notified the relevant organization or SMA of suspected unauthorized access.
SMA or an authorized sports organization may create, approve, suspend, deactivate or manage accounts according to the applicable service configuration, role permissions and operational requirements.
4. Sports Organizations, Branches and Authorized Users
The SMA platform may support multiple sports organizations and branches within a shared service. Access is role-based, and users should only access data and functions belonging to the organization, branch, program or role to which they have been assigned.
Each sports organization is responsible for the accuracy of the information it enters or imports, the users it authorizes, the permissions it assigns and the operational decisions it makes through the platform.
5. Parents, Guardians, Players and Minors
Where a player or athlete is a minor, a parent, guardian or other authorized adult may be required to provide information, complete registration steps, manage memberships, make payments or provide necessary consents on the minor’s behalf.
Sports organizations remain responsible for obtaining any consents, waivers, medical clearances or other documentation required for participation in their programs and activities.
6. Memberships, Programs and Registrations
Memberships, packages, plans, programs, schedules, capacity limits, eligibility rules, registration approvals, expiry dates, movement between programs or branches and similar operational rules may be configured by the relevant sports organization.
SMA provides the technology used to administer these workflows but does not determine sporting eligibility, coaching decisions, program suitability or participation requirements unless expressly agreed otherwise.
7. Fees, Payments and Taxes
Fees for memberships, registrations, subscriptions or other services may be collected through payment providers or other payment methods made available by the relevant organization. Prices, taxes, refunds, discounts and payment terms are subject to the applicable organization’s policies and any separate agreement with SMA.
Where card or wallet payments are processed by an external payment provider, payment credentials are handled by that provider under its own terms and security standards. SMA does not require users to provide full payment-card details directly to SMA where a third-party payment gateway is used.
8. User Content, Records and Data Accuracy
Users and organizations may upload or enter information such as profiles, documents, photographs, membership information, attendance records, schedules and other operational data. The person or organization providing the information is responsible for having the right to provide it and for keeping it accurate and appropriate.
You must not upload unlawful, misleading, harmful, infringing or malicious content, or content that contains malware or is intended to disrupt the services.
9. Privacy and Data Protection
Personal information is handled in accordance with the SMA Privacy Policy and applicable data-protection requirements. Depending on the service and relationship, a sports organization may also have its own privacy notices and responsibilities regarding information it collects or controls through the platform.
Users should review the Privacy Policy available on this website for further information about categories of data, processing purposes, sharing, retention, security and user rights.
10. Third-Party Services and Integrations
The services may use or link to third-party services such as payment gateways, cloud hosting, application stores, email or messaging providers, analytics services and other integrations. Third-party services are governed by their own terms, privacy practices, availability and technical requirements.
SMA is not responsible for outages, policy changes, service limitations or acts of third-party providers that are outside SMA’s reasonable control.
11. Intellectual Property
The SMA platform, website design, software, branding, logos, documentation and other materials provided by SMA are owned by or licensed to SMA and are protected by applicable intellectual-property laws.
Except as expressly permitted by SMA or required for normal authorized use of the services, you may not copy, modify, reverse engineer, distribute, sell, sublicense or create derivative works from the SMA software or materials.
12. Service Availability, Maintenance and Changes
SMA may update, improve, maintain, replace or modify parts of the services from time to time. Temporary interruptions may occur because of maintenance, security work, upgrades, third-party outages, connectivity issues or events outside reasonable control.
SMA will use reasonable efforts to maintain service availability but does not guarantee that every function will be continuously available, error-free or suitable for every organization’s specific operational requirements.
13. Suspension and Termination
Access may be suspended, restricted or terminated where reasonably necessary for security, non-payment, suspected misuse, violation of these terms, legal or regulatory requirements, organization deactivation, expiry of an applicable subscription or other material operational reasons.
Upon termination or expiry, access to some services or data may cease. Data handling after termination will be subject to the applicable agreement, Privacy Policy, legal requirements and SMA’s retention practices.
14. Disclaimers, Liability, Governing Law and Updates
To the maximum extent permitted by applicable law, SMA is not liable for indirect, incidental, special or consequential losses arising from use of or inability to use the services, or from decisions, activities or services provided by a sports organization, coach, administrator, payment provider or other third party.
Nothing in these terms excludes liability that cannot lawfully be excluded. These terms are governed by the laws of the Kingdom of Bahrain, and disputes shall be subject to the competent courts of the Kingdom of Bahrain unless a separate written agreement provides otherwise.
SMA may update these Terms & Conditions from time to time. The updated version will be published on this page with a revised “Last Updated” date. Continued use of the services after an update constitutes acceptance of the revised terms where permitted by law.
